Your documents changed last week. Does your AI know?

Most document AI answers from whichever version it finds first. When a new circular quietly supersedes an SOP, that is how a confident answer becomes a wrong one.

Every organisation that runs on orders, circulars, SOPs and manuals has the same quiet problem. The knowledge is there, but it keeps changing. A new order arrives, an old procedure is partly overridden, a deadline moves, and the person asking a question next Tuesday has no way of knowing which version is in force.

Now put a typical document AI in front of that library. It cuts every document into fragments, searches them by similarity and writes a fluent answer. If the old SOP and the new circular both match the question, both can end up in the answer, and nothing tells the reader that one of them no longer applies.

The problem is not search. It is change.

Finding a paragraph is the easy part. The hard part is knowing how documents relate to each other: which one supersedes which, which clause was modified, what a change affects, and who now has to act. That is the part Entrada Knowledge AI was designed for.

Entrada reads documents with their structure intact: pages, sections, clauses, tables, dates, versions and references. Because it keeps that structure, it can point to exact evidence, and it can see when a newer document changes an older one.

Four things that keep answers current

  1. Change Radar. When a new order, circular or policy arrives, Entrada shows what changed, which existing SOPs it affects and who needs to know, with every point linked to the evidence.
  2. Knowledge Health. It finds documents that contradict each other, duplicates, and versions that have been superseded or expired. It also shows the questions people asked that no document could answer, so you know what to write next.
  3. Action Tracker. It pulls actions, owners and deadlines out of orders, minutes and contracts. If a document does not name an owner or a date, Entrada says “not stated” instead of guessing.
  4. Evidence on every answer. Each finding carries an evidence grade and cites the document, page and section. When the evidence is not there, Entrada says so rather than filling the gap.
In Entrada’s demonstration library, a circular delegates approval authority for unscheduled maintenance from headquarters to unit level. Change Radar shows the change, links it to the clause, and flags that the existing maintenance SOP still requires headquarters approval, so the two now conflict and the SOP needs revising.

Inside your walls

None of this helps if the documents cannot be used in the first place. Orders, SOPs and internal reports are often too sensitive for public AI services. Entrada runs on your premises, and in Sovereign mode it runs fully offline with local models only. Entrada AI-in-a-Box packages it on a Meru M128 appliance: unpack it, connect it to your network, start asking.

Start with one problem

The fastest way to see the difference is with your own material. We demonstrate on sample documents, then run a short pilot on your own information before you decide to scale.
